How to use SwapShift

Post it. Share it. Cover it. Approved.

Everything you need to swap a shift without the group-chat chaos — for the team posting and covering shifts, and the managers approving them. The little demos on this page play automatically; just scroll.

Reading the board

One card per shift. One glance to know where it's at.

Each card shows the date, the shift type, who's giving the shift away and who (if anyone) is covering it. Shifts within the next three days carry an urgency badge, and where extra pay applies you'll see an indicative minimum — a floor, not a quote, since your actual rate depends on your pay point and award. Use the search box, filters and sort options (including sort by extra pay), or flip to Table view for a spreadsheet-style overview.

For staff

Swapping a shift, start to finish.

No app to install, no account to create. The board runs in your browser and remembers your name and email on your device.

1 · Post your request

  1. Tap + New request at the top of the board.
  2. Add your name and email — the board pre-fills them next time.
  3. Pick the shift date (it defaults to tomorrow) and the shift type.
  4. Choose Need cover to give a shift away, or Direct swap if you'll work one of theirs in return.
  5. Optionally add a short reason — it helps colleagues and managers say yes.
  6. Tap Post request. You'll get a confirmation email and a share window pops up straight away.
Tip: double-check your email address — it's how you'll hear when someone offers to cover and when the swap is approved.

2 · Share the link

Every request gets its own unique link that opens straight to the cover form for that exact shift.

  • Copy message copies a ready-to-paste block — the shift details plus the link — made for your team group chat.
  • Copy link copies just the URL, for texting one specific person.

The same paste-ready message is in your confirmation email too, so you can share it later from your inbox. You can re-open the share window any time from the card's Share link button.

3 · Offer to cover a shift

  1. Open a shared link, or find the shift on the board and tap Offer to cover.
  2. Check the summary — date, shift type, who's asking, and any return shift on offer.
  3. Enter your name and email and tap Offer to cover.
  4. The status changes to Offered. The requester is notified and the manager is emailed to approve — you'll get an email once it's decided.

If someone beats you to it, the link tells you politely that the shift is no longer open — no harm done.

Important: an offer isn't final until a manager approves it. Don't treat the shift as swapped until you get the approval email.

4 · Changed your plans?

While your shift is still Open, tap Cancel on your card. The manager is notified and the request comes off the board.

For managers

Approve in one tap. Undo in one more.

Tap Manager sign-in, enter your name and the manager PIN. The board switches into manager mode — a deeper teal background and a persistent MANAGER MODE badge make it obvious you're signed in. Your name is stamped on every action you take, and you'll see email addresses on cards plus all six statuses, including Completed, Declined and Cancelled.

Approving and declining

  • When a shift is Offered you're emailed, and the card shows Approve and Decline.
  • Approve makes it official — the requester, the covering doctor and you are all emailed, and the approval is stamped with your name.
  • Decline sends the shift back to Open and clears the offer. Both doctors are told.
  • Once approved, you can later Mark completed, or Reverse it back to Open if plans change.
Undo: the Undo button in the header rolls back your last action — and you can step back through several. Undo is quiet: the record is corrected but no fresh emails go out.

Removing and archiving

Remove takes a finished or stale request off the board — but nothing is ever truly deleted. Removed shifts are archived to their own tab in the Google Sheet, and every action ever taken lives permanently in the append-only Log, timestamped and attributed.

Email templates

The Templates button (managers only) lets you edit the wording of every automated email. Placeholders in {curly braces} — like {shiftDate}, {requestingJMO}, {coveringJMO}, {approvedBy} and {summary} — are filled in automatically when each email is sent. Changes persist, and Reset to defaults restores the original wording any time.

Reporting and export

Who gets emailed, and when

Nobody has to remember to tell anyone anything.

Every email about a specific shift also includes its unique link.
