Shift swaps for healthcare teams

Cover your shift without the group-chat chaos.

Post a shift, share a link, and let a colleague pick it up. Your manager approves in one tap — and everyone's kept in the loop automatically.

✓ Runs on a Google Sheet your team already owns — set up your way, with support whenever you need it.

Covering
Needs cover

The 2am group chat isn't a roster system. Messages get lost, no one's sure who's covering, and there's no record.

How it works

Four steps, from posted to sorted.

Your team handles the first three. Managers just approve — and the paperwork takes care of itself.

01

Post the shift

Need cover? Put the day, date and shift type on the board in under a minute.

02

Share the link

Every request gets its own link. Drop it in a text to whoever you'd like to cover it.

03

A colleague covers

They tap the link, add their name, and they're offering to cover. No account needed.

04

Manager approves

One tap makes it official. The swap is logged and everyone involved gets an email.

Why teams choose it

Yours to shape. Simple to run. Safe to rely on.

SwapShift bends to the way your team already works — and stays dependable when it matters.

Made to fit your team

Your shift types, your email wording, your approval rules. Set SwapShift up around the way your roster actually works — not the other way around.

Simple enough for a 3am shift

One clean board — no manual, no training day. If someone can send a text message, they can swap a shift.

Reliable, with nothing lost

Every decision is written to a permanent, timestamped log. Removed shifts are archived rather than deleted, and two people editing at once can't overwrite each other — all on Google's infrastructure.

Support around the clock

Rosters don't keep office hours, so neither do we. Real help whenever you need it — 24/7.

What's inside

Built for the way shifts actually run.

Everything a rostering manager needs to keep swaps fair, visible and on the record.

Unique shareable links

Send the exact shift to the exact person — the link opens straight to the cover form.

Automatic email updates

Requester, coverer and manager are all kept in the loop at every step — no chasing.

Manager-only approval

Nothing changes the roster until a manager signs off. Every action is stamped with their name.

Every decision logged

A permanent, timestamped record of who did what. Removed shifts are archived, not lost.

Successful-swap tracking

See how many swaps went through, by month — ready for reporting or invoicing.

Runs on Google Sheets

Your data stays in a sheet you own and control. No new system for anyone to learn.

The guide

Everything your team needs to know, on one page.

The SwapShift guide walks through the whole board — posting a shift, sharing its link, offering to cover, and manager approval — with short animated demos of each step, so new starters can see exactly what happens before they touch the board.

  • ✓Step-by-step staff and manager workflows, in plain language
  • ✓Animated demos that play right on the page — nothing to download
  • ✓A reference for every status and email notification

Before you ask

Questions teams ask us first.

Where does our data live?

In a Google Sheet your team owns and controls. You can read it, export it, or delete it at any time — nothing is locked away in someone else's system.

How is access controlled?

Your board sits behind a team access code. Managers sign in to approve changes, and every action is written to a permanent, timestamped log you can review whenever you like.

Does anyone need to install an app?

No. SwapShift runs in the browser on a page you host. Staff just open a link — nothing to download, no new account to create.

Can we set it up for how our team works?

Yes. Your shift types, the wording of the automated emails, and who can approve are all yours to configure. We'll tailor it to your roster during setup.

What if something goes wrong out of hours?

Support runs around the clock. Rosters change at 3am, so help is there at 3am too.

How do we get started?

Get in touch and we'll set your team up with its own board and access code, and walk you through it.
